The Job

To develop, research, exhibit, and publish Mia’s collections of American Art.

 

In this role, you will….

1. Interpret the museum’s collections of American Art through permanent collection gallery displays and didactic materials. Propose and oversee regular gallery rotations. Speak publicly about the museum’s collection and provide training for museum guides so that they can accurately and knowledgeably represent the collection. 

 

2. Conduct research and mount special exhibitions, with accompanying publications that add to the field of knowledge about American Art. Such exhibitions should be of the scale of Cargill and/or US Bank Galleries, but do not preclude larger-scaled shows. 

 

3. Oversee the care and preservation of the collection by ensuring proper and responsible handling and installation of objects and by recommending objects for conservation treatment. Participate in the museum’s efforts to secure funding for conservation initiatives. 

 

4. Locate, research, and propose acquisition of American works of art that significantly augment the museum’s existing collections. Review the museum collections of American Art for potential deaccessions. Maintain a current knowledge of the art market and professional relations with art dealers. 

 

5. Develop and coordinate lectures and activities pertaining American Art for the museum’s Art of the Americas Affinity group. Foster and maintain relationships with trustees, collectors, potential donors, and the general public, including community outreach.

 

6. Actively participate in broader museum initiatives through committees or specially formed teams. 

 

7. Perform other related duties and responsibilities as required or assigned, including assisting the head of the department as assigned.

Assistant Controller

The Job

Primarily responsible for managing, and maintaining the general ledger, grant and restricted fund reporting, and administering the accounting software.


In this role, you will…

1. Manages and maintains the general ledger system.

• Maintains the general ledger to ensure all internal and external reports generated are accurate and in compliance with generally accepted accounting principles.

• Monitors and analyzes reconciliation of all balance sheet accounts, resolving and correcting errors in a timely manner.

• Prepares monthly/quarterly/annual journal entries as required. 

• Serves as backup for the Controller in managing the Accounting Team.


2. Manages financial administration and reporting for grants and restricted funds

• Assists with preparing budgets that support grant and funding request narratives.

• Monitors use of grant funds and coordinates with Advancement and grant managers to ensure utilization of funds complies with grant requirements.

• Manages financial reporting to funders that meet grant and funder deadlines.

• Work with Head of Budget and Financial Planning and Controller to ensure grant income/expenses are incorporated into cash management and operating budget.

• Maintains systems for analysis and tracking of restricted funds.

• Monitors use of restricted funds to ensure compliance for designated  purpose.

• Provides ad hoc reporting and analysis of restricted funds.


3. Coordinates administration of the accounting software.

• Liaison with Information Systems department and software vendor.

• Designs management reports using accounting system with input from Controller and Head of Budget and Financial Planning.

• Trains general accounting staff in accounting system.


4. Assists Controller with the annual audit and tax returns.

• Prepares audit workpapers in compliance with FASB not-for-profit requirements.

• Prepares workpapers required for completion of the Form 990, and associated state tax returns.


 5. Performs other related duties and responsibilities as requested by the Controller.



Requirements

Required:

• B.A. or B.S. in Accounting

• 3-5 years of accounting experience, preferably including budget and planning

• Advanced Excel skills including proficiency with pivot tables

• Excellent written and oral communication skills 

• Ability to work responsibly with confidential information  

• Proficiency with Oracle NetSuite or similar accounting software and other accounting applications


Preferred:

• Not-for-profit experience

• 10+ M budget experience

• CPA or CMA a plus

The Job

Focus on process improvement related to the maintenance of the building components, including locks/doors, roofs, walls, office moves and janitorial. Coordinate, track, and drive scheduled, preventative and proactive work related to building related systems.

 

In this role, you will….

1. Oversee Building Service Delivery

· Supervise the repair and maintenance of facilities and equipment, as well as custodial operations on the Mia campus.

· Assess the condition and performance of the facility.

· Monitor progress and facilitate prioritization of work orders, preventative maintenance, and repairs.

· Develop and implement service level expectations regarding the timely response and execution of repairs, updates, and cleaning.

· Work with staff to develop a robust PM program.

· Inspect buildings, site, and equipment with staff to determine maintenance and repair needs and set the schedule for effective execution.

Education: 

· Vocational or College degree, preferably related to building operations and management or a closely related field.

 

Skills/Experience: 

· Relevant experience in building maintenance and operations including: planning and scheduling complex repairs and upgrades, planning and scheduling preventative maintenance for multiple facilities.

· Minimum of three years’ related work experience leading hands-on, technical work.

· Comfort and familiarity with construction, buildings, and their care.

· Able to respond to after hours and weekend emergencies as needed.

· Experience in a cultural institution a plus.

The Job

Responsible for the design and fabrication of gallery display and support structures. Assists with the preparation and maintenance of galleries and display furniture. Produces shop drawings for display furniture in coordination with the Exhibition Designer and Head Preparator.

 

In this role, you will…

· Prepares display furniture and galleries for the installation of artwork. Implements designs for exhibitions and rotations by constructing exhibition casework, and platforms and/or locating, preparing, and moving existing structures into place. 

· Assists the Head Preparator with the maintenance of the shop, shop tools, and supplies: including the ordering and the collection of supplies and materials from distributors.

· Works with the Assistant Registrar for Permanent Collection and curatorial staff to organize and maintain storage areas: includes construction of storage furniture and devices.

· Provides project direction to assistants when implementing large scale exhibition productions. Supports the Preparators and installations as needed by handling, moving, and installing works of art in a proper and professional manner. Prepares and mounts labels and signage for permanent and temporary galleries.

· Minimal of two years related work experience in museum or gallery. 

· Ability to read and produce shop drawings; experience with design and CAD software.

The Job

The Applications & Integrations Administrator serves as an integral part of the Information Systems’ (IS) department and broader functional technology teams, serving as subject matter expert and primary administrator for several of the museum’s enterprise applications.

 

This position partners with other members of the Information Systems team, institutional leadership, and stakeholders throughout the organization to plan, implement, maintain, and support Mia’s enterprise systems and their integrations. 

 

This position requires excellent use of personal judgment, interpersonal communication skills, emotional intelligence, and a commitment to team building and cooperative work.

 

In this role, you will…

1. Application Administration & Systems Integrations

· Serve as the primary application administrator for several of Mia’s enterprise systems: NetSuite, Asana, Dayforce, AkitaBox, Artifax, StaffSavvy, Square & Other Point-Of-Sale systems.

· In collaboration with the Head of IS and IS team, manage systems integrations, APIs, account management, continuous process improvement, data quality and integrity, data governance, custom development, lifecycle management, system monitoring and updates, disaster recovery, information security, permissions management, and user provisioning & training. 

· Partner with the IS team, cross-functional Mia teams, external vendors and consultants to plan and complete enterprise system changes, integrations, updates, and maintenance.

· Coordinate and communicate systems changes, upgrades, feature improvements, scheduled maintenance etc. with stakeholders.

· Lead the planning and implementation of user provisioning, permissions, data governance, and security audits of enterprise systems.

· Partner with the Information Systems staff to plan, implement, and verify data security, backup solutions and disaster recovery for enterprise databases.

· Serve as escalated support for Help Desk requests across all areas of expertise.

· Proactively monitor and respond to alerts for the museum’s critical enterprise systems and processes - including on-call and after hours support as necessary.

 

2. Project Management, Consultation and Collaboration

· Consult with stakeholders, leadership, and vendors to develop and implement short- and long-term planning in support of department and institutional goals and objectives.

· Serve as project manager for Enterprise Systems projects including scoping, stakeholder engagement, communication, development, implementation, support and maintenance.

· Participate in institutional project management conversations and serve as a key stakeholder, advisor, and advocate for project management practices across the institution.

· Identify opportunities to implement or iterate on existing application-based processes to alleviate pain points, increase efficiency, or take advantage of opportunities to grow or evolve services.

· Participate in assigned workgroups, task forces, and other ad-hoc and permanent collaborative groups.

· Participate in Information Systems operational planning and team-building efforts.

· Provide documentation and training for Mia’s staff (end users) and the IS team (technical).

· Create and maintain documentation, process maps, diagrams, and other collateral describing the museum’s enterprise data ecosystem.

· Plan and implement regular data quality and security audits.

· In collaboration with the Enterprise Systems team, Mia’s financial analyst, and other Mia stakeholders, work to develop a centralized reporting and visualization tool (Tableau).

· Identify and implement reporting policies and procedures, and data visualizations including data dashboards for internal and/or external stakeholders.

The Job

Work with the museum’s Director, Deputy Director, and curators to develop exhibitions that broaden Mia’s audience and enhance Mia’s brand and reputation. Establish strategic partnerships with sister organizations to co-develop important exhibitions. In order to fully capitalize on Mia’s special exhibition program, work to solidify the museum’s special exhibition calendar at least five to seven years out.

 

In this role, you will…

1. Develop art historically significant exhibitions that broaden Mia’s audience while enhancing its reputation and brand.

· Vet and optimize exhibition proposals.

· Ensure that the goals and strategy for special exhibitions are articulated in the Exhibition Brief. 

· Oversee development of adult programs as they relate to exhibitions.

· Oversee the process to create a title and blurb for each special exhibition. 

· Oversee the exhibition team (Smart Team) for each special exhibition, working in close collaboration across divisions by managing implementation schedules as well as outlining important milestones and tracking their completion

· Work with the Head of Exhibition to ensure the project stays within budget and adheres to the negotiated contract.

2. Procure exhibition partnerships among sister museums worldwide. 

· Alert the Director, Deputy Director of potentially advantageous partnerships evolving at sister organizations at the ground level. 

· Connect Mia’s curators to relevant personnel at sister organizations with an eye to developing partnerships

 

3. Supervisory duties

· Supervise Head of Exhibition

· Supervise Head of Interactive Media

· Supervise Exhibition Designer 

 

4. Place Mia exhibitions at other art museum venues

· Working with Mia’s curators, develop “sell sheets” and “fact sheets” for Mia generated exhibition as marketing tools to secure additional venues

· Scout for potential venues for Mia generated exhibitions

 

5. Perform other related duties and responsibilities as required or assigned.

Requirements:

Required:

· M.A. in Art History and a deep knowledge of the art museum field in general

· At least 10 years of previous experience within an art museum 

· Strong record of research with proven experience organizing exhibitions of high quality

· Strong budget, exhibitions, programs, and strategic planning experience and demonstrated skills in those areas.

· Proficiency in Word, Excel and PowerPoint

 

Preferred:

· Ph.D. in Art History
