Prospect Manager and Researcher

The Job

To advise and execute on donor identification, qualification, moves management, and research. Responsibilities include the research, identification, creation and maintenance of a robust donor and prospect pipeline to ensure maximized fundraising results. This role works in partnerships with advancement and museum leadership to ensure research and portfolio management systems effectively support museum priorities.

 

In this role, you will…

1. Pipeline Development

· Create optimal portfolios with a pool of potential donors with the capacity and inclination to make a major outright or planned gift at levels of $25,000+

· Segment and monitor potential prospect pools based on gift timing, geography, affinity, and volunteer leadership, and maintain research fields in Salesforce to capture and track relevant data elements

· Recommend strategies to identify and qualify specific segments, including steps that will help bring prospects closer to the museum through engagement with gift officers, senior leadership, and/or curatorial staff


2. Portfolio Management and Analytics

· Create and maintain a sophisticated moves management system that supports the fundraising process, in order to engage new and renewing donors and generate increased revenue

· Implement programs and reporting systems that track progress for moving donors along the donor continuum, beginning with identification

· Collect, analyze, and translate data to create reports that support strategic decision making and investments

· Maintain a metrics program for development that supports the success of the Major & Planned Gifts team and brings insight to daily work, evaluating, prioritizing, and celebrating efforts that lead to the best possible fundraising outcomes

· Facilitate bi-annual portfolio reviews with gift officers and senior leadership


3. Donor Research

· Meet donor research needs for Advancement by conducting research according to ethical standards of the Association of Professional Researchers for Advancement (APRA) to independently and proactively identify new donor prospects

· Conduct market and donor research, analyze and summarize qualitative and quantitative data, prepare detailed, accurate, and confidential reports on individuals, corporation, and foundations

· Maintain and serve as subject area expert on a suite of tools to accomplish the tasks above, including data mining software, foundation search engines, US Securities and Exchange Commission (SEC) filing search engines, public records search engines, and scoring tools.

· Assign donor ratings (including wealth, affinity, generosity) based on giving capacity, as determined by extensive financial research using various sources such as on-line databases, published references, and other documents


4. Participate, as needed, in division-wide and museum-wide work teams on key issues.

The Job

To provide high-level executive, administrative, and project support to the Chief Advancement Officer, the Senior Deputy Director, and their respective areas of responsibility.

 

In this role, you will…

1. Executive Support:

· Provide executive-level administrative support to the Chief Advancement Officer and Senior Deputy Director, demonstrating excellent organizational and problem-solving skills, attention to detail, initiative, and follow-through.

· Prioritize and help manage internal and external communications with key stakeholders, including trustees, donors, division heads, and others.

· Manage executive calendars, correspondence, and travel arrangements

· Support tracking of donor visits and relationships via moves management tools

· Schedule complex meetings and manage related logistics. 

- Prepare and distribute meeting notifications, presentations, and materials.

2. Project Coordination:

Speak publicly about the museum’s collection and provide training for museum guides so that they can accurately and knowledgeably represent the collection. 

 

2. Conduct research and mount special exhibitions, with accompanying publications that add to the field of knowledge about American Art. Such exhibitions should be of the scale of Cargill and/or US Bank Galleries, but do not preclude larger-scaled shows. 

 

3. Oversee the care and preservation of the collection by ensuring proper and responsible handling and installation of objects and by recommending objects for conservation treatment. Participate in the museum’s efforts to secure funding for conservation initiatives. 

 

4. Locate, research, and propose acquisition of American works of art that significantly augment the museum’s existing collections. Review the museum collections of American Art for potential deaccessions. Maintain a current knowledge of the art market and professional relations with art dealers. 

 

5. Develop and coordinate lectures and activities pertaining American Art for the museum’s Art of the Americas Affinity group. Foster and maintain relationships with trustees, collectors, potential donors, and the general public, including community outreach.

 

6. Actively participate in broader museum initiatives through committees or specially formed teams.

Chair of Exhibition Strategy 

Curatorial Affairs Department

The Job

Work with the museum’s Director, Deputy Director, and curators to develop exhibitions that broaden Mia’s audience and enhance Mia’s brand and reputation. Establish strategic partnerships with sister organizations to co-develop important exhibitions. In order to fully capitalize on Mia’s special exhibition program, work to solidify the museum’s special exhibition calendar at least five to seven years out.

 

In this role, you will…

1. Develop art historically significant exhibitions that broaden Mia’s audience while enhancing its reputation and brand.

· Vet and optimize exhibition proposals.

· Ensure that the goals and strategy for special exhibitions are articulated in the Exhibition Brief. 

· Oversee development of adult programs as they relate to exhibitions.

· Oversee the process to create a title and blurb for each special exhibition. 

· Oversee the exhibition team (Smart Team) for each special exhibition, working in close collaboration across divisions by managing implementation schedules as well as outlining important milestones and tracking their completion

· Work with the Head of Exhibition to ensure the project stays within budget and adheres to the negotiated contract.

· Work with the Manager of Curatorial Project Management towards project management best practices, such as detailed project schedules and communication platforms (Asana).

 

2. Procure exhibition partnerships among sister museums worldwide. 

· Alert the Director, Deputy Director of potentially advantageous partnerships evolving at sister organizations at the ground level. 

· Connect Mia’s curators to relevant personnel at sister organizations with an eye to developing partnerships

 

3. Supervisory duties

· Supervise Head of Exhibition

· Supervise Head of Interactive Media

· Supervise Exhibition Designer 

 

4. Place Mia exhibitions at other art museum venues

· Working with Mia’s curators, develop “sell sheets” and “fact sheets” for Mia generated exhibition as marketing tools to secure additional venues

· Scout for potential venues for Mia generated exhibitions
